Booking Terms & Conditions

These Terms & Conditions (“Terms”) form the basis of your contract with Roadaway Ltd, registered in the United Kingdom (“we,” “our,” “us”). Please read them carefully as they outline your rights and obligations when booking a tour with us.

1. Booking & Payment

  • A booking is confirmed once we receive your completed booking form and a non-refundable deposit of 20% per person.

  • The balance must be paid 1 month before departure. Failure to do so may result in cancellation without refund of deposit.

  • Bookings made within 1 month of departure require full payment at the time of booking.

2. Pricing

  • All prices are quoted in GBP (£).

  • Prices include only the services specified in the tour itinerary. Flights, personal expenses, and travel insurance are not included.

  • We reserve the right to adjust prices due to changes in exchange rates, transport costs, or taxes outside our control.

3. Cancellation by You

Cancellations must be notified in writing. Charges apply as follows:

  • More than 2 months before departure: loss of deposit

  • 1 month before departure: 50% of tour cost

  • Less than 1 month before departure: 100% of tour cost

We strongly advise taking out comprehensive travel insurance to cover cancellation, illness, or accident.

4. Cancellation or Changes by Us

  • We reserve the right to cancel or amend a tour due to insufficient bookings, safety concerns, or circumstances beyond our control (e.g., extreme weather, natural disasters, strikes, pandemics, political unrest).

  • If we cancel, you will receive a full refund of monies paid, or the option to transfer to another tour (subject to availability).

  • We are not liable for additional costs you incur, such as flights or visas.

5. Travel Insurance & Health Cover

  • Adequate travel insurance is mandatory and must cover: medical expenses, repatriation, accident, personal liability, and cancellation.

  • UK residents must carry a valid GHIC (Global Health Insurance Card) for emergency state healthcare in Italy.

  • You are responsible for declaring any medical conditions that may affect participation.

6. Fitness, Safety & Local Regulations

  • Our tours require a reasonable level of cycling fitness. By booking, you confirm that you are medically fit to participate.

  • Helmets are compulsory at all times. Italian road traffic laws and local regulations must be obeyed.

  • You must follow the instructions of our tour leaders and guides at all times. Failure to comply may result in removal from the tour without refund.

7. Equipment

  • You may bring your own bicycle or hire one through our third party provider.

  • You are responsible for the care of hired equipment. Damage beyond normal wear and tear may be charged.

8. Liability

  • We accept responsibility for the proper performance of our services, but not for:

    • Your negligence, unsafe behaviour or failure to follow safety instructions.

    • Illness, injury, or loss caused by third-party providers or events beyond our control.

    • Your failure to hold correct travel documents or insurance.

  • Nothing in these Terms limits our liability for death or personal injury caused by our negligence.

9. Travel Documents

  • You are responsible for ensuring you hold a valid passport (with at least 6 months’ validity from return date) and any required visas.

  • We accept no liability if you cannot travel due to incorrect documentation.

10. Conduct

  • Respectful and safe conduct is expected at all times. We reserve the right to refuse participation or remove any client from a tour if behaviour is disruptive or unsafe. No refunds will be issued in such cases.

11. Complaints

  • Any complaints during the tour must be raised immediately with the tour leader to allow resolution.

  • If unresolved, a written complaint must be submitted within 28 days of the end of the tour.

12. Governing Law & Jurisdiction

  • These Terms are governed by the laws of England and Wales.

  • Any disputes shall be subject to the exclusive jurisdiction of the English courts.
